Terms of Service
1. About us
These Terms of Service apply to services provided by Really Simple HR Solutions Ltd (“we”, “us” or “our”).
Our contact email is support@reallysimplehr.co.uk.
Our registered company number is 17215735.
By booking or purchasing our services, you agree to these terms. We will confirm the relevant service, scope and fees before work begins.
2. Our services
We provide practical HR consultancy and support to employers and individuals. Services may include recruitment support, onboarding, employment documentation, performance management, employee relations guidance and support with maternity, paternity and other family leave matters.
The precise service will depend on what we have agreed with you.
We will explain what is included in the agreed service and identify any additional work that may incur extra fees. We will not knowingly undertake substantial additional work outside the agreed scope without discussing it with you first.
3. Nature and limits of our advice
Our services provide HR consultancy and practical guidance. We are not a law firm and do not provide formal legal representation.
We aim to provide accurate, practical advice based on the information available and the circumstances explained to us. You are responsible for ensuring that information you provide is complete and accurate.
Where a matter requires specialist legal, tax or other professional advice, we may recommend that you consult an appropriately qualified professional.
We cannot guarantee a particular outcome in an employment matter, dispute, negotiation or other process.
4. Fees and payment
Our fees will be explained before you commit to a service. Fees may be fixed, hourly or based on an agreed package, depending on the service.
Any additional work outside the agreed scope may incur further charges. We will discuss these with you before proceeding.
Payment terms will be confirmed when you book or receive a quotation or invoice. Unless otherwise agreed in writing, invoices must be paid by the due date stated on the invoice.
If payment is overdue, we may suspend further work after giving reasonable notice. Any interest or recovery costs will only be charged where legally permitted.
VAT: Our prices and invoices will identify any VAT payable where applicable.
5. Bookings and cancellations
If you need to cancel or rearrange a booked appointment or session, please give at least 24 hours’ notice by contacting support@reallysimplehr.co.uk.
Where less than 24 hours’ notice is given, or you do not attend a booked appointment, we may charge a reasonable cancellation fee or retain an amount already paid to cover time reserved and costs incurred. Any charge will be proportionate and consistent with applicable law and the booking terms agreed with you.
If we need to cancel or rearrange an appointment, we will notify you as soon as reasonably possible and offer an alternative appointment or refund any payment made for a service we do not provide, as appropriate.
6. Consumer cancellation rights
If you are an individual purchasing services mainly for personal use, you may have statutory cancellation rights under UK consumer law. For certain contracts made online or at a distance, this can include a 14-day cancellation period.
Where applicable, we will provide the required cancellation information. If you ask us to begin providing a service during that period, you may be required to pay a proportionate amount for services already provided if you subsequently cancel, where the law permits.
The 24-hour booking policy above does not remove or override any statutory consumer rights.
7. Client responsibilities
You agree to:
Provide accurate and complete information relevant to the service.
Respond to reasonable requests for information or decisions.
Ensure you have permission to share any personal or confidential information supplied to us.
Review documents and advice provided and raise any questions or concerns promptly.
Make your own decisions about how to act on our advice.
Delays or incomplete information may affect the service we can provide or the time required to complete it.
8. Confidentiality and personal information
We will handle confidential information with care and use it only as necessary to provide our services, operate our business or meet legal obligations.
Our handling of personal information is explained in our Privacy Notice, available on our website.
You should not send information about employees or other individuals unless you have an appropriate lawful basis and are entitled to share it with us.
9. Documents and intellectual property
Unless agreed otherwise in writing, documents, templates and materials we create for you may be used by you for your own internal business or personal purposes, as applicable.
You must not resell, publish, distribute or commercially exploit our materials without our written permission. Any pre-existing tools, templates, methods and materials remain our intellectual property.
10. Liability
Nothing in these terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot legally be excluded.
Subject to that, we will provide our services with reasonable care and skill. We are not responsible for losses caused by inaccurate or incomplete information supplied to us, decisions made without regard to the advice provided, or matters outside our reasonable control.
If you are a consumer, nothing in these terms affects your statutory rights.
11. Ending our services
Either party may end an ongoing arrangement by giving any notice period agreed in writing. If no notice period has been agreed, either party may request that the arrangement ends by giving reasonable notice.
You remain responsible for fees for work completed and any reasonable, agreed costs incurred up to the termination date, subject to applicable law and any agreed cancellation terms.
We may suspend or end services where there is a serious breach of these terms, non-payment after reasonable notice, or circumstances that make it inappropriate or unlawful to continue.
12. Complaints
If you are unhappy with our service, please contact support@reallysimplehr.co.uk and explain your concern. We will review the matter and aim to respond within a reasonable period.
13. Changes to these terms
We may update these terms from time to time. The version applicable to your service will be the version agreed with you when you book or enter into the relevant arrangement, unless a change is agreed or legally required.
